Description
To provide instruction and training in stenographic
professional secretarial skills so that students who
have a minimum typing speed of 60 wpm and a
shorthand speed of 110-120 wpm may produce useable
(mailable) copy from taped office style dictation;
as a 'word initiator' compose correspondence; as an
executive's assistant be able to use initiative and
make follow-up notes and reminders; be able to check
airline, bus and/or train schedules; reserve
accommodation; arrange appointments; prepare
itineraries; annotate diaries.

Students should be advised at the beginning of the
course that in order to cope adequately with the
assessment for this course they are recommended to
develop their stenographic skills to the following
minimum levels:
- Copy typing 60 wpm
- Shorthand Speed 120 wpm
- Transcription Production Rate 30 wpm
DURATION OF ASSESSMENT
Examination to be of three hours' duration.
- Reading Time 5 minutes
- Tape Dictation 20-25 minutes
- Transcription Time 150 minutes
- Collating Time 5 minutes
180-185 minutes Duration of dictation on tape including
instructions and pauses, 20-25 minutes.
DICTATION TAPE
The tape is to commence with a practice piece
dictated at 100 wpm for one minute and repeated at
120 wpm. This practice piece should relate to the
content or theme of the tape. However this practice
piece does not constitute part of the examination
and does not need to be transcribed.
CONTENT OF TAPE
- The practice piece is to be followed by a general
introduction - as to name of firm, name and designation of the originator and
specific instructions as to the form of display required for correspondence.
Pauses of 10 to 15 seconds to be given after instructions to enable students to
make notes where appropriate. Instructions and tape identification are not
part of the timed dictation and need not be given at speeds varying up to 120
wpm but may be given at the dictator's normal speaking voice with appropriate
pauses for note-taking of specific instructions.
- The tape should contain a minimum of eight questions with
at least a five second pause between each question.
- Each question should be related to another so that the
overall content of the tape deals with a specific topic or theme.
- Although the body of each question should keep within the
maximum word count as specified in the Details of Syllabus, slight adjustments
may be made to the length of each question so long as the overall word count
for the tape does not exceed the composite maximum of all questions.
- The final useable (mailable) copy, excluding addresses,
should have a word count of approximately 1000-1100 words.
- There must be one continuous passage of dictation at 120
wpm for one minute in one of the questions.
STATIONERY
Double quantity of stationery to be issued to enable retyping of any question/s
if desired and if time permits. Carbon copies and envelopes are not required
in the examination. STUDENT'S INSTRUCTION SHEET
A Student's Instruction Sheet is to be prepared
containing general and specific instructions
relating to:
- Subject name and index number
- Duration of examination
- Quantity and type of stationery to be issued
- The name of the firm and originator for whom the work is
to be typed
- This information is to be given on the tape as well as on
the instruction sheet:
- any preferences as to how work is to be set out
- relevant names and addresses and any other special
requirements
- names of staff members, branches, sections or departments
who are to receive a copy of any memo
- Selection and arrangement of appropriate stationery for
the various tasks, including handwritten and rough drafts for correction or
modification
- Collation of completed work
- The use of an English and/or shorthand dictionary and
correcting devices.
SUPERVISOR'S INSTRUCTION SHEET
The examination should include a Supervisor's
Instruction Sheet detailing:
- Subject name and index number
- Instructions as to equipment required. Use of cassette
recorder controlled by the Supervisor. Candidates to use audio channels and
headsets where these are available, or individual cassette players with no
pause or rewind facilities including footpedals
- After the instructions and the practice piece the tape
cannot be stopped or replayed
- Instructions as to quantity of stationery to be issued to
each student (include rough drafts and handwritten notes)
- The use of an English and/or shorthand dictionary and
correcting devices by students
- Special instructions for the timing of the examination.
