Description
This unit describes the skills and knowledge required to book and coordinate production resources for any production within the cultural industries. Resources would generally be those required for a whole production or multiple aspects of a production. Elements and Performance Criteria
1 Analyse resource requirements
  • 1.1 Read and correctly interpret all relevant production documentation, including production schedule/script.
  • 1.2 Identify production requirements accurately, based on scale and concept of the production and available resource schedules.
  • 1.3 Develop and maintain accurate records of resource requirements and production brief.
2 Source production resources
  • 2.1 Identify appropriate sources for required resources.
  • 2.2 Identify and research new sources of supply where required.
  • 2.3 Negotiate costs to achieve optimum budget outcomes.
  • 2.4 Identify, clarify and communicate appropriate responsibilities of all relevant personnel in relation to resource acquisition and management.
  • 2.5 Resource alternatives if resources requested are not available after consultation with relevant personnel.
3 Organise resource bookings
  • 3.1 Book resources as required to meet production brief and budget, and in accordance with organisational procedures.
  • 3.2 Prepare letters of agreement and other relevant resource documentation for resources according to organisational procedures.
  • 3.3 Make and record amendments and adjustments accurately according to organisational procedures.
  • 3.4 Action and record payment requirements at the appropriate time according to organisational procedures.
  • 3.5 Update suppliers regarding changes to requirements according to agreed procedures.
  • 3.6 Advise suppliers of final details and requirements according to the particular booking and organisational procedures.
  • 3.7 Select and organise appropriate transport where required, ensuring adequate security.
  • 3.8 Communicate relevant information on resource acquisition to production colleagues.
4 Monitor resources during production
  • 4.1 Make regular checks on supply and condition of resources with relevant personnel.
  • 4.2 Manage efficient distribution of resources throughout production, maintaining sufficient supply of resources to meet production requirements, budget and schedule.
  • 4.3 Ensure resources are handled and stored as appropriate.
5 Maintain resource documentation
  • 5.1 Keep inventories of resources in accordance with organisational procedures.
  • 5.2 Record and file booking details, including request, confirmation and future action, according to organisational procedures.
  • 5.3 Ensure any required clearances and permits are recorded.
  • 5.4 Record and check points of dispatch and return in accordance with organisational procedures.

ability to effectively manage and monitor the acquisition and use of production resources
knowledge of industry protocols and procedures in relation to the acquisition of a range of production resources/equipment and services
effective organisational and time management skills demonstrated through the management of multiple and complex resource requirements.
Method and context of assessment
The assessment context must provide for:
practical demonstration of skills through the management and monitoring of resource acquisition for multiple productions
involvement of and interaction with a production team to reflect the collaborative nature of the production process.

Assessment may incorporate a range of methods to assess practical skills and the application of essential underpinning knowledge, and might include:
review of production report prepared by the candidate detailing planning and processes uses, issues encountered and how these were addressed
peer interviews regarding the efficiency of resource acquisition and management
review of a production diary maintained by the candidate
review of production records created and used by the candidate
project activity to allow the candidate to create, update and finalise production resource bookings
interview to assess knowledge of industry protocols, procedures and ability to respond effectively to different production situations
review of portfolios of evidence and third party workplace reports of on-the job performance by the candidate.

Assessment methods should closely reflect workplace demands and the needs of particular groups (e.g. people with disabilities, and people who may have literacy or numeracy difficulties such as speakers of languages other than English, remote communities and those with interrupted schooling).
